IMPORTANT BOOKKEEPING & ACCOUNTING INFORMATION

What is the difference between a Bookkeeper and an Accountant?

A Bookkeeper is responsible for the day-to-day recording and organising of financial transactions, while an Accountant analyses, interprets and summarises financial information and focuses more on the big picture. They often work together on the same data set, with bookkeepers gathering the most relevant data and working to make that information accessible to the accountants.

What are the benefits of having a bookkeeper?

A Bookkeeper will record all your financial data and help you make sense of it. A bookkeeper can also help ensure you comply with the Tax Office and other government bodies by executing lodgements. A Bookkeeper will provide you with a complete set of year-to-date accounting records, giving you a picture of the financial health of your business and allowing you to make timely business decisions based on accurate data.

Do I need an accounting software?

Accounting software offers many benefits over traditional paper record keeping. It is simple and fast and reduces errors by eliminating duplicate entries, saving you time and money. It also allows for easier reporting on areas of your business, and you can make better business decisions with a better understanding.

How much does a bookkeeper cost?

A bookkeeper's cost will often vary based on the bookkeeper's knowledge, qualifications, accreditations, location, and experience. The industry hourly rates range from $30 up to $120, and fixed monthly fees start around the $100/month mark and go upward from there based on the size and requirements of your business. Often an outsourced bookkeeper is more affordable than an in-house bookkeeper.

What does a bookkeeper do?

A bookkeeper's primary role is to enter and code data to maintain accurate business financial records. They help businesses and other organisations keep their finances in order by managing general accounting ledgers, recording journal entries (transactions), and generating financial statements. In addition, business owners and accountants often use the data collated by a bookkeeper to make financial decisions.

Do I need a local bookkeeper?

Unless you don't use cloud accounting software or your business structure requires an onsite bookkeeper, there is no need to use a local Bookkeeper. With cloud accounting, the bookkeeper will have access to your key business numbers 24/7 from anywhere they can access the internet.

What accounting software is right for me?

Accounting software can be expensive, but various options are available at different price points. Choose the software that fits your budget without sacrificing features or functionality. Ideally, you'd be looking for user-friendly cloud accounting software that offers real-time reporting, can store large amounts of data and is secure and affordable. But, again, this is something a bookkeeper can advise you on.

Do I need to keep all my receipts?

All business records need to be kept for five years; this includes receipts. The ATO allows you to keep your business receipts electronically or on paper. Many tools are available for you to use to make electronic storage and organising a lot easier for easy access.

How long do I need to keep the paperwork for?

When you run a business in Australia, regardless of the business structure, the ATO requires you to keep records for taxation and employee obligations. The ATO can ask for your records for up to five years and, for some requirements, even more.

What is a Business Activity Statement (BAS)?

A Business Activity Statement is required of any business registered for GST to declare how much they've collected and paid to the ATO and will then receive a refund or bill. The BAS form will need to be filled out between one and twelve times a year, depending on your business reporting cycle and size. A Registered BAS Agent can complete this.

What is a registered BAS agent?

A Registered BAS Agent is someone who is licenced and registered with the Tax Practitioners Board to provide BAS services. They can provide clarification, advise, and represent clients in relation to all GST matters, PAYG Withholding, PAYG Instalment and superannuation guarantee matters related to payroll.

Do I need to register for GST?

You will need to register for GST if your annual turnover is more than $75,000 (or $150,000 for a Non-profit organisations). You may also voluntarily register for GST, as it may benefit you financially. When registering for GST, you must report your business income and expenses in a Business Activity Statement (BAS) for a specific period.
